Tests Enhancements is now possible for candidates to run various tests using ISV Software’s ‘FastPath skills testing’ Product, which has been integrated into Infinity.

Temps Enhancements that Infinity supports ‘temp’ jobs, by allowing user to mark candidates as ‘temp’ and enter their availability/unavailability into a fully functional calendar. Temps jobs also have a calendar of ‘shifts’ indicating the hours/days required to work

Test charges

Tests are charged ‘per candidate’.  When a candidate completes their first test, you will be charged.  Further tests completed by the same candidate will incur no further cost.

Setting up access to Tests

Existing ISV users can configure Infinity to use their existing ISV account by adding their ‘LLC ID’ and ‘Security Token’ to the ‘ISV Administration’ tab of the Administration screen.

Infinity tests functionality Overview

It is now possible for candidates run various tests, as follows:

  1. Add a test to the candidate
  2. Use the comms centre to send an email to the candidate with a hyperlink for them to follow to do the test.  Alternatively, the hyperlink on the candidate page can be used for the test to be run on the recruiter's premises
  3. The results are automatically added to the candidate page, and My Infinity flags when all tests are completed
  4. Test results can optionally be sent to the client using the CV submit comms centre

When a test is added to a candidate, the ‘Candidate’s ISV Url’ normally appears within 10 seconds.  In certain scenarios this could take up to 3 minutes.  This is also true for the test results.

The ‘Candidate’s ISV Url’ is provided by ISV’s server, and not by Infinity.

If you wish to view the URL, you will need to close down the candidate page and open it again.

If you wish to email the URL to the candidate, it is recommended that you use the ‘edit first’ option to confirm that the URL has been received.

The ‘Results Overview’ column will display different results depending on the test taken e.g. %, wpm pass/fail, etc.

The ‘Detailed Information’ column contains a hyperlink to more detailed test results (Enhancement – 14224).  This can be emailed to the client if required.

If the candidate hasn’t done the test (and not been assigned the test), there is no row merged.

If the candidate hasn’t done the test (and has been assigned the test), then the row merges, but the results column will be blank.

When selecting ‘Test (Adv)’, and looking at the ‘Advanced Search Criteria Properties’, the last field(s) are specific to the results for that specific test e.g. %, wpm, pass/fail.

Enhancement – 14213 Configuring Tests

To configure tests you will need to enter the ‘LLC ID’ and ‘Security Token’, in the ‘ISV Administration’ tab in the admin screen.

There are also options for:

Review Date (Day) – The default number of days before the test comes up for review in My Infinity

Expiry Date (Days) – The default number of days before the test expired.  Once a test has expired the candidate will no longer be able to take the test.

Temps Enhancements

To register a candidate as a temp (temporary worker) then you are required to tick the Temp tick box within the Expected Rates grid:

The temps calendar allows you to mark a candidate as:

  • Available
  • Unavailable (with a reason)
  • Unknown

Entries are automatically added to the Calendar when placements are made, and are updated with any changes made to the placement dates. (Enhancement – 38660/38665/38661)

Double-Click the placement in the Temps calendar to open the related placement page (Enhancement – 38664)

To add entries to a candidate’s Temps Calendar, marking them as unavailable for a period of time you can highlight the period within the calendar by holding your mouse button.  Once highlighted, right click and the appointment dialogue box will open:

Selecting New Appointment will then open the Unavailable – Appointment box, which will display the dates and times you have highlighted:

 You are able to make alterations as required to these dates/times.  The Reason dropdown list allows you to record the reason why the candidate is unavailable: (Enhancement – 11368)

The Available tick box allows you to mark the candidate as available (reason dropdown will be greyed out), although candidate’s will be assumed available for any date/time they have no calendar entries.

Recurrence button will open the Recurrence dialogue box in which you can set the appointment to recur, allowing you to quickly set a candidate as unavailable for a period of time or unavailable for the same day/time each week. (Enhancement – 11369)

Within the Job record you are able to define the working pattern via the Job Calendar button 1.8 Image 33.1 the start and end dates are completed in the Job record from the first entry within the Job calendar and the last entry automatically.

Using the Add button 1.8 Image 37 will open the Job Rates – Detailed View and will have added an entry to be completed.  Alternatively, you can use the Show All button 1.8 Image 38  to open and view the rates without adding an entry.

Worker type is stored per job.  The 1.8 Image 40 icon provides the details of the rates and states ‘Based on worker type: PAYE’ by default. (Enhancement 14391)

In the Administration screen, General Settings, you can set the default worker type for temp jobs:

Once the temp job has been created, it is not possible to change the worker type.  When placements are created from the job, the worker type can be changed per placement.  By default, the worker type of the placement is the same as the worker type of the candidate.

The ‘Place Candidate’ button on the temp job toolbar, allows you to add a candidate to the shortlist, and create a placement in one step. (Enhancement 11426).  The placement page automatically opens.

The ‘Search’ button opens the normal search screen as per contract/permanent jobs, which allows you to change the search criteria if required.

The ‘Run Search’ button automatically runs the temp search and takes you to the search results, without showing the search criteria screen (Enhancement 15020/15021).  This search uses the ‘Temps default search criteria) (See Enhancement 41452)

If the ‘Search’ button has been used, and then the ‘Run Search’ button is used, you are automatically taken to the Search Results, used the search criteria input when the ‘Search’ button was pressed.

Enhancement – 11415 Temps Search Criteria ‘Availability Search’

The search criteria screen has a new ‘Availability Search’ section.  This searches candidates who are a) temp, b) have the job title and c) are available for one or more of the job required dates.

If you wish to search candidates who are not temp or do not have the job title, then this section can be turned off and the ‘Advanced Search’ section can be used to specify ‘temp’ and/or ‘job title.

The ‘Availability Search’ section is only available when searching from a temp job.

Enhancement – 11416/41452 Temps default search criteria

By default, the temps search criteria is as follows:

This can be changed, but altering the search criteria screen as desired and pressing the ‘Set Default Criteria’ button.  This setting is per user.

‘Temps’ jobs have a separate ‘default search criteria’ from Perm/Contract/Fixed term jobs, which share ‘default search criteria’.

Enhancement – 11377 Temps Availability searching – Default 3 Months in the future (this figure is configurable during install)

Temps availability searching has been optimised for speed.  As part of this optimisation we have restricted the length of time in the future that you can search.

You can enter candidate availability & Job dates more than 3 Months into the future, but when searching for candidates suitable for a job, the search will only look at 3 Months from today’s date onwards.

This is a database setting set during install that defaults to 90 days and can be set in the range 30 – 180 days.  Once this has been set it cannot be changed.

If you set this too high on a database with a large number of candidates, you could severely impact the speed of searching for candidates.

Enhancement – 38689/38690 Temp Search Results – Percentage Available column

The ‘Percentage Available’ column is calculated ‘per shift’

i.e. the job has 3 shifts (Mon to Wed, 9.00 – 5.00), and ‘John Smith’ is available for all 3 shifts.  ‘Jones Jack’ is only available for 2 shifts, therefore his ‘Percentage Available’ is 66%

The ‘Percentage Available’ column is used to control the ‘Ranking’ of the candidate, and they are ordered by Rank

 

Enhancement –11424/11425 Temps Search Results – Create Placement(s)

The ‘To Placement’ icon, will add the candidate to the shortlist, and create a placement in one step.  The placement page automatically opens.  This can be done for multiple candidates at the same time, and multiple placement pages will be opened.

It is also possible to create a placement from the job page toolbar.  See enhancement 11426

Placements do not support recurring shift patterns.  When the placement is saved for the first time recurring shifts are flattened to non-recurring shifts.

If you have a recurring appointment without an end date, Infinity will offer to convert the next 180 days, and warn you as shown below:

These control the default tick boxes for new candidates in iCapture.

Upon upgrade to 1.8, the perm & contract tick boxes will be on and temp off. (and the functionality will continue to work as it did in 1.7)

These defaults can be changed if required, but they only affect iCapture candidates and not candidates manually created.

The ‘To event logger’ icon, will allow users to log an event from Results.  This functionality is also available for Contract/Permanent/Fixed term jobs.

Select the candidates you wish the event to be logged against, and click the ‘event logger’ icon.

This is currently only available from the Job page search results screen

If an email address or mobile are matched, there is a high likelihood that the candidate is the same.  The scores have been increased so fewer other details are required to match, for the candidate to be defined as the same

Enhancement – 39272 iCapture only tick one email address as ‘send as default’

If a candidate has more than one email address on their CV, you cannot be sure that they all refer to the candidate e.g. a reference email address.  Infinity will process all email address and add them to the candidate page, but only one will be marked as ‘send as default’.  This means that if you were mailshotting the candidate, it is only the first email address found on the CV that will be used.

Enhancement – 38766/41659/41663/41664/41665 License to control access to custom reports

Custom report can now be licensed to control which databases have access to individual reports.

If you previously had access to a report, and the license no longer allows this, then the following happens:

  • The report is no longer in the list of available reports
  • The report is no longer in the list of reports that you can schedule
  • The report is no longer in the list of reports in the Reports admin screen
  • If the report has previously been run as a scheduled report, the results will remain in My Infinity until they are removed.
  • If the report has been scheduled to run in the future, it will no longer run

For Infinity 1.8, no existing reports have been removed.

Enhancement – 38768 Outlook to indicate which emails have been synchronised by exchange sync and which haven’t

An Email flag in outlook indicates if the email has been synchronised with Infinity

Green = the email has been processed and synchronised with Infinity because the email address has been found on an Infinity record

Red = the email has been processed and not synchronised with Infinity because the email address has not been found on an Infinity record

 

Enhancement – 37991 Create a meeting and don’t invite anyone.  It should appear in your calendar and sync with outlook.

Infinity Meetings are synced with Outlook, so that both applications display the same information. 

This functionality has been enhanced, so that meetings to which no Infinity candidate/contact is invited, as also Synced with Outlook.

 

Enhancement – 38885 ‘Sent Test button’ on Placement comms centre

The placement Comms centre has a ‘Send Test’ button, from the ‘Edit First’ screen.  This is designed for you to test the comms centre, but also allows you to send a document to a user outside of Infinity.

This could also be used to send a ‘Placement Form’ to your accounts team.

Test emails can contain:

  • From Email Field
  • Email Subject
  • Email Contents
  • Attachments (including merge-able)

An event is not logged, as there is no Candidate/Contact in Infinity who received the message.

The email is sent either by Outlook (if exchange sync is configured) or by SMTP (using the ‘email other’ option)

Enhancement – 40735 Enhanced Warning when re-indexing all skills in the dictionary

The warnings have been enhanced to make it more obvious what the re-index functionality does, and easier to cancel the request.

This has been enhanced for Attributes (as per screenshots below), Job Titles and Quals & Certs

Enhancement – 14190 Automatically download the latest client upon logon for On Premise users

This functionality was previously available for SaaS users.  It is now also available for On Premise users

The client will inform you that an update is required, and insist that you update the client before you logon to Infinity again.  (The screenshots are for the SaaS client, but the functionality for On Premise is identical)

  1. Click ‘Yes’

    The Welcome screen will appear

  2. Click on the ‘license terms’ hyperlink to read the license terms
  3. Tick the ‘I agree to the license terms and conditions’ if you agree with the license terms
  4. Click Install
    The green progress bar will show the install progress.  This may take a few minutes

  5. When the install has finished, you will be told ‘Setup Successful’ and the Voyager Infinity icon will be added to the desktop.
