Infinity v1.7 Release Overview:

Software as a Service (SaaS) is a software distribution model in which applications are hosted by a vendor or service provider and made available to customers over a network, typically the Internet.

On-premises software (sometimes abbreviated as "on-prem" software) is installed and run on computers on the premises (in the building) of the person or organisation using the software, rather than at a remote facility, such as at a server farm or cloud somewhere on the Internet.

Enhancement – Middle Tier (SaaS and on premises)

  • In Infinity 1.6, the client talked directly to the SQL database

  • In Infinity 1.7, the client talks to the middle tier, and the middle tier talks to the SQL database

  • When you install the on premises client, you don’t enter the server name and database name, you just type in the server name, and the port number (38000).  This is for the middle tier. (‘Server’ service)

  • Port 38000 needs to be open on both clients and server

  • The services talk directly to SQL

If Infinity has not been used, then the session will timeout and you will be required to input your password again, to continue using Infinity.  This is also true for the outlook connector.

The Session timeout is 30 minutes.

On SaaS you must re-login within 5 hours or your session will be cancelled.  On premises your session will not be cancelled.

Enhancement – 11972 Windows Shutdown/Logout to warn if Infinity is still running (SaaS and on premises)

When a user tries to shutdown windows, the ‘There are x applications still need to close’ window appears.  The user needs to click ‘Cancel’ and log back into Infinity and close it down properly, before closing windows.

This will prevent any unsaved work from being lost.

Enhancement – 12634 SaaS users are limited to 250 records in the find screen (SaaS only)

When your results display more than 250, you are warned.

The first time you run the search you are warned via a pop-up:

If you are warned that there are too many records, then you will need to change the details added into the find screen (i.e. include a first name as well as a surname), otherwise the record you are looking for may not appear in the list.

On premises users are not restricted in the number of records.

All attachments are limited in size.  Attachments can be added to Infinity in various ways

  • The SaaS limit is set to 2MB
  • The on premises limit is set 10MB

  • When creating a new user, the ‘User must change password at next logon’ option is set
  • You must set a temporary password
  • The user must logon with the temporary password, and they are then forced to change their password (You are NOT allowed to change it to the temporary password, even if the ‘Password must not be of the last x’ option has NOT been set)
  • Blank passwords are NOT allowed

  • The ‘inactive’ check box is now an ‘active’ check box, to be consistent with other screens
  • The ‘password never expired’ option, will not require the user to change their password, if password complexity rules are enhanced

The ‘User Import Tool’ also generates random passwords

  • The user must logon with the randomly generated password, and they are then forced to change their password (You are NOT allowed to change it to the temporary password, even if the ‘Password must not be of the last x’ option has NOT been set)

Enhancement – 11841 SaaS runs Reports as a ‘1 occurrence’ scheduled report (SaaS only)

Due to the nature of SaaS, SaaS reports have been changed so they run as a ‘1 occurrence’ scheduled report

The reports are then run by the service on the server and not by the client, which allows you to continue working while the report is being generated.

‘1 occurrence’ scheduled reports are set to run 2 minutes after they are created, and the reports appear in My Infinity once they have run. (If the time is set in the past, the service automatically schedules it for 2 minutes in the future)

If you wish to keep the report, we recommend that you rename it, to prevent multiple reports with the same name appearing in My Infinity.

Some reports have data parameters: Day Before, Current Day, Next Day, Last Week, Current Week, Next Week, Last Month, Current Month, Next Month, Last Quarter, Current Quarter, Next Quarter, Previous 6 Months, Next 6 Months, Last Year, Current Year, Next Year

Reports can be removed from My Infinity via the ‘Remove Notification’ button, if you only needed to view the results once and not keep the report.

Alternatively, you may want to keep the report in My Infinity, if you wish to view them at a later date e.g. run the consultant statistics report once a month and keep them, so you can view the stats from previous months.

Note: Reports available from lists are not available in SaaS at this time.

Enhancement – 11971 Adding OneDrive data source to iCapture (SaaS and on premises)

Infinity supports consumer OneDrive, (NOT OneDrive for Business)

This has been developed as an alternative to the ‘File Folder data source’ which is not available for SaaS users.

This type of data source allows you to have CV’s uploaded to iCapture or the database from your OneDrive account.

Once you have created your OneDrive account you can add it as a data source:

Data Source Name – this will show in iCapture to allow users to know where the CV has come from

Click on ‘Authorise OneDrive’ which will then open the Microsoft login screen, enter your username and password for your OneDrive account:

Enhancement - 9884 Merging Duplicate Candidate Records (SaaS and on premises)

Although every effort should be made to avoid creating duplicate candidate records, it can be possible to create a duplicate version of the same candidate.

NB: The duplicate facility is run once a day and therefore may not show all duplicates until this service has run.

A green match means a High match, Amber is a Medium match and Red is a Low match.

Click on the expand icon to view key details (Telecoms, Address, DOB) for the candidate records, this should allow you to identify if they are genuine duplicate records, although you can also open the candidate records via the Candidate Code or the Candidate Name:

Using the Duplicate Candidate List

You are able to access a full list of potential duplicate candidates via the application menu.  In here you will see each candidate record that has been identified as a potential duplicate.

You will see 3 columns for High, Medium and Low matches, this relates to the probability of a match in the database. This works on probability of being a duplicate record and uses key details like mobile numbers, DOB, Post Code as well as name (although it doesn't have to match all names). This will assist in identifying obvious matches but also to investigate in more detail the Medium and Low matches.

Click on the expand icon to view key details (Telecoms, Address, DOB) for the candidate records, this should allow you to identify if they are genuine duplicate records, although you can also open the candidate records via the Candidate Code or the Candidate Name:

If you have found that the candidate is not a duplicate record, then you can select the "Remove Candidate from Group" this will ensure the two records will no longer show as duplicates.

Permissions

You need the ‘Merge Candidate’ permission to merge candidate records.

By Default, ‘Infinity Administrators’ do have this permission and ‘Infinity Users’ don’t.

You will also need ‘HARDDELETE Candidate’ object permissions, to delete the duplicate record after the merge has completed.

If you have confirmed the two records are a duplicate on the database then you will need to select both (select one and then hold control and select the other) so both entries are highlighted and then select the merge button, if you have more than two records as a duplicate then you will need to merge two and repeat to merge again

This will launch the Candidate Merge Wizard, taking you through the steps of merging the records:

Identify which of the two records should be treated as the Primary and Secondary (this will control which of the records will keep the default CV and primary contact details, although if you Show address & telecom choice wizard page you can amend what telecoms will be treated as primary) use the Swap button between the two entries to change which to set as the Primary:

You will receive a verification message if both records are available to merge, this will ensure no other users are editing either of the candidate records

You are prevented from merging if the secondary candidate is linked to a contact or the secondary candidate has placements:

The records are merged and the ‘primary’ records details are kept. (except for telecoms/addresses which are controlled by the wizard)

Call-back's, attachments, meetings, shortlist entries, interviews and placements are merged together so entries from both candidates appear for the merged candidate

Note: Custom fields are not merged by the candidate merge utility

Enhancement – 12644 Allow Editing of reference data while other users are logged in

Reference data had been recently changed to only allow editing of reference data if you had exclusive access to the database (i.e. no other users were logged in).  This was done to protect against changes in reference data causing errors.

This has now been changed back to allow editing of reference data (presuming you have permissions) while other users are using the database.

 

Enhancement – 13619 ‘User Import’ is now available to all users with ‘User Administration’ Permissions

The ‘User Import’ tool was released with Infinity 1.5, but was only available to Voyager Support.  This is now available to any user with appropriate permissions.

If the username and/or short name already exists, it will skip the user and continue

If the user doesn’t already exist, they are added.

The first row is the header row, which is ignored by the import, but allows support descriptive column headings.

The PAF column should display either ‘Distance’ or ‘Postcode’

The user level column should display either ‘User’ or ‘Admin’ for the user to be added to the appropriate security role.

The excel spreadsheet has restrictions on the characters you are allowed to input and the format of the data.  This ensures that the ‘user import tool’ works correctly.

During an upgrade, if ‘All’ was selected in 1.6, then all 4 options will be ticked in 1.7, and all applications will be shown in the list.

Enhancement – 10004 Broadbean applications that match the filter criteria will be posted directly to iCapture (SaaS and on premises)

This new option is left un-ticked by default; when ticked, new Broadbean applications will go directly into iCapture providing they comply with the Candidate application filter.

During an upgrade this new field will default to un-ticked
